Who controls your data

Madcap Adventure Xperiences Private Limited, registered at 14/13/1, Shop No. 25, Guru Nanak Charitable Trust, Nicholson Road, Kashmere Gate, North Delhi, Delhi 110006, India, is the data controller for information collected through this website. Contact us at support@fuelfestindia.com.

What we collect

We ask for the minimum needed to sell you a pass and let you in.

• Everyone: name, email address, phone number.
• Driving and riding passes: driver or rider name, vehicle make and model, year, and registration number, and for Track Day Car the engine size. These are needed for scrutineering, paddock access and the circuit’s own records.
• Track Day Car, after booking: a photo or PDF of your car’s registration certificate (RC), which you attach on your passes page. It shows the owner’s name and address and the car’s chassis and engine numbers; we use it only to check the engine size. Only our admins can open it, and every opening is recorded.
• Vendors: business name, GST number, and licensing details.
• Automatically: basic technical information your browser sends, such as IP address and device type.
• Visit statistics: which pages are viewed, the site you came from, your country and device type, counted anonymously by our hosting provider’s analytics. It sets no cookies, does not identify you, and never records your booking or pass codes.

We never see your card details. Payments are handled entirely by our payment provider. Card numbers, CVVs, UPI PINs and net-banking credentials are never transmitted to or stored on our systems.

Why we use it

• To issue your pass and send your booking confirmation.
• To verify you at the gate and at each activity desk.
• To contact you about your booking, or about a change to the event.
• To meet safety, insurance and venue requirements for track activities.
• To keep accounting and tax records, as Indian law requires.

We do not sell your data. We do not share it with advertisers.

Who else sees it

• Our payment provider, to take payment and process any refund.
• Our hosting provider (Vercel), which runs the website and counts anonymous visit statistics.
• The Buddh International Circuit, where the venue requires attendee or participant details for access control and indemnity.
• Partner academies — Drift Masters and Sabby Racepro Academy — but only for the passes they run, and only the details needed to deliver that training.
• Authorities, where we are legally required to disclose.

Photography and filming at the event

The event is photographed and filmed. By attending you accept that you may appear in images and footage used to promote Fuel Fest India and future events. If you would prefer not to appear, tell a crew member on the day or email us, and we will do our best to exclude you from published material.

How long we keep it

Booking and attendee records are kept for the event and for as long afterwards as tax and accounting law requires. Indemnity and safety records for track activities are kept in line with the venue’s and our insurers’ requirements. After that they are deleted.

Track Day Car RCs are deleted within 30 days after the event, by 21 December 2026.

Your rights

Email support@fuelfestindia.com to ask for a copy of your data, to correct something wrong, or to have it deleted. We will respond within 30 days.

Deleting your data before the event means we can no longer honour the pass, since we would have no record of the booking. We will say so before acting on such a request.

Security

Data is transmitted over encrypted connections and access is limited to the people who need it to run the event. No system is perfectly secure, and we do not claim otherwise — but we do not hold the category of data that makes a breach catastrophic, because we never store payment credentials.

Changes to this policy

If this policy changes materially we will update the date at the top of this page and, where the change affects an existing booking, tell ticket-holders by email.
